HOW DO I ASSIGN MY COMPLIMENTARY REGISTRATIONS THAT COME WITH THE BOOTH?

You can assign the complimentary registration passes that come with the booth, track, and purchase additional registrations (NON-REFUNDABLE) through AFP’s online exhibitor portal. The primary booth contact at each company has been issued instructions on how to access the online exhibitor portal and manage registrations online. Only the designated primary booth/exhibitor contact has access to the online exhibitor portal. Please contact AFP at exhibiting@afponline.org if you need to change your primary booth/exhibitor contact. Include full business contact information and copy the current primary booth contact on that request.

WHEN IS THE DEADLINE TO ASSIGN THE REGISTRATION PASSES THROUGH THE ONLINE EXHIBITOR PORTAL?

They need to be assigned no later than September 20 to be considered pre-registered and to be included in the attendee list.

WHAT IF I NEED MORE REGISTRATIONS THAN MY COMPLIMENTARY ALLOTMENT ALLOWS?

If you need additional registrations, you can purchase Exhibitor Conference Registrations and Exhibitor Floor Passes through the online exhibitor portal. These purchases are non-refundable. Purchase additional registrations by September 20th to receive a substantial discount.

WE WANT TO BE INCLUDED IN THE MOBILE APP. WHERE DO WE ENTER OUR INFORMATION?

All exhibitors should enter their company description, logo, and service categories via the Online Exhibitor Portal. This is the only way to be included in the official AFP 2019 Mobile App.

CAN MY ORGANIZATION HOST AN EVENT AT AFP 2019?

Yes! However, Exhibitors and Sponsors may not host events during official conference hours, apart from the designated spaces (i.e. demonstration rooms) assigned by AFP. Official conference hours are listed below.

Exhibitors violating this policy will jeopardize their future participation in AFP Conferences. Companies who do not either exhibit or sponsor are not allowed to host any events or reserve/rent space in any conference facility during the conference.

Monday, October 21 8:00 AM – 6:00 PM (Events may start at 6:15 p.m.)
Tuesday, October 22 8:30 AM – 5:30 PM (Events may start at 5:45 p.m.)
Wednesday, October 23 8:30 AM – 11:00 AM

WHEN CAN WE INSTALL OUR BOOTH?

INSTALLATION HOURS:

All booths must be installed no later than 2:00pm on SUNDAY. AFP and Freeman need time to prepare the exhibit hall for the grand opening. Be sure that your staff arrive in town early enough to meet this deadline. We encourage exhibitors to check in with AFP by 10:00am on Sunday to ensure the installation deadline is met.

WHEN DO WE DISMANTLE OUR BOOTH?

DISMANTLING HOURS:
Tuesday, October 22 ................................................................................ 5:30 PM – 11:59 PM
Wednesday, October 23 ............................................................................... 8:00 AM – 5:00 PM

All exhibitor booths must be cleared no later than 5:00 PM on Wednesday, October 23.

All carriers (trucking companies) must check in no later than 2:00 PM on Wednesday, October 23 for freight pickup.

HOW DO I MAKE HOUSING ARRANGEMENTS?

All sleeping room and suite assignments for exhibitors and sponsors should be made through Convention Management Resources (CMR), AFP’s official housing bureau. Online housing reservations can be made at: https://www5.cmrhousing.com/afp2019/gp/EXHB/Housing/ResHotel

If you requested a block of rooms, exhibitor room lists are due no later than August 23, 2019.

WHO IS THE GENERAL SERVICE CONTRACTOR FOR AFP 2019?

AFP has selected Freeman as our Official General Service Contractor for the show.

IS MY ORGANIZATION REQUIRED TO USE FREEMAN’S SERVICES?

No, you are not obligated to utilize Freeman for your exhibit needs. We highly recommend Freeman because they know our show, as well as the building, and can address all your needs in a timely and knowledgeable way. You can choose other companies, but are still bound by union labor laws and BCEC building requirements. If you choose to use a different Exhibitor Appointed Contractor (EAC), you will need to register them to gain access to the show floor. You can register your EAC via this link.

CAN I BRING IN MY OWN FOOD AND BEVERAGE FOR MY BOOTH?

No, Levy Restaurants is the exclusive provider of all food and beverage in the exhibit hall. All food and beverage must be ordered through Levy Restaurants, contact Eiman Karim, phone: 617.954.2320 or email: ekarim@levyrestaurants.com. Any request for exception should be made to Eiman Karim.

WHERE SHOULD I SHIP MY MATERIALS?

Due to the limited move-in time, we recommend shipping in advance to the Freeman Warehouse. Shipments must be delivered to the warehouse beginning September 20, 2019 and no later than October 11, 2019. Please refer to the Exhibitor Kit for material handling order forms and shipping labels.

If you choose to ship directly to the convention center, shipments will be received beginning October 18, 2019 and no later than October 20, 2019.

WE PURCHASED A TURNKEY BOOTH, HOW DO I SUBMIT OUR GRAPHICS?

If you purchased a turnkey booth, your booth graphics are due to Freeman by August 30th. You will need to submit your graphics to Sergio Luna with Freeman via the pCloud Transfer Site - https://transfer.pcloud.com/. Please enter the following information in pCloud:

  • Recipient Email – Sergio.Luna@freeman.com
  • From – Your Email
  • Message – Enter your Company Name (as provided on your exhibiting forms) as well as your Booth #
