HOW DO I ASSIGN MY COMPLIMENTARY REGISTRATIONS THAT COME WITH THE BOOTH?

Stay tuned for more information on the Exhibitor Portal and Exhibitor Services Kit, both available mid-summer. You will be able assign the complimentary registration passes that come with the booth, track, and purchase additional registrations (NON-REFUNDABLE) through AFP’s online exhibitor portal. The primary booth contact at each company will be issued instructions on how to access the online exhibitor portal and manage registrations online. Only the designated primary booth/exhibitor contact has access to the online exhibitor portal. Please contact AFP at EXHIBITING@AFPONLINE.ORG if you need to change your primary booth/exhibitor contact. Include full business contact information and copy the current primary booth contact on that request.

WHEN IS THE DEADLINE TO ASSIGN THE REGISTRATION PASSES THROUGH THE ONLINE EXHIBITOR PORTAL?

They need to be assigned no later than October 8 to be considered pre-registered and to be included in the attendee list.

WHAT IF I NEED MORE REGISTRATIONS THAN MY COMPLIMENTARY ALLOTMENT ALLOWS?

If you need additional registrations, you will be able purchase Exhibitor Conference Registrations and Exhibitor Floor Passes through the online exhibitor portal. This portal will be available mid-summer. These purchases are non-refundable. Purchase additional registrations by October 8 to receive a substantial discount.

WE WANT TO BE INCLUDED IN THE MOBILE APP. WHERE DO WE ENTER OUR INFORMATION?

All exhibitors will be able enter their company description, logo, and service categories via the online exhibitor portal. This portal will be available mid-summer. This is the only way to be included in the official AFP 2021 Mobile App.

CAN MY ORGANIZATION HOST AN EVENT AT AFP 2021?

Yes! However, Exhibitors and Sponsors may not host events during official conference hours, apart from the designated spaces (i.e. demonstration rooms) assigned by AFP. Official conference hours are listed below.

Exhibitors violating this policy will jeopardize their future participation in AFP Conferences. Companies who do not either exhibit or sponsor are not allowed to host any events or reserve/rent space in any conference facility during the conference.

Monday, November 8 - 7:30 a.m. – 6:00 p.m. ET (Events may start at 6:15 p.m. ET)
Tuesday, November 9 - 7:30 a.m. – 5:30 p.m. ET (Events may start at 5:45 p.m. ET)
Wednesday, November 10 - 7:30 a.m. – 11:00 a.m. ET

WHEN CAN WE INSTALL OUR BOOTH?

Installation Hours:
Friday, November 5 - 8:00 a.m. – 5:00 p.m. ET
Saturday, November 6 - 8:00 a.m. – 5:00 p.m. ET
Sunday, November 7 - 8:00 a.m. – 2:00 p.m. ET

All booths must be installed no later than 2:00pm on SUNDAY. AFP and Freeman need time to prepare the exhibit hall for the grand opening. Be sure that your staff arrive in town early enough to meet this deadline. We encourage exhibitors to check in with AFP by 10:00am on Sunday to ensure the installation deadline is met.

WHEN DO WE DISMANTLE OUR BOOTH?

Dismantling Hours:
Tuesday, November 9 - 5:30 p.m. – 11:59 p.m. ET
Wednesday, November 10 - 8:00 a.m. – 5:00 p.m. ET

All exhibitor booths must be cleared no later than 5:00 PM on Wednesday, November 10.

All carriers (trucking companies) must check in no later than 2:00 PM on Wednesday, November 10 for freight pickup.

HOW DO I MAKE HOUSING ARRANGEMENTS?

All sleeping room and suite assignments for exhibitors and sponsors should be made through Convention Management Resources (CMR), AFP’s official housing bureau. Online housing reservations can be made at: https://hsg.cmrus.com/AFP2021/GP/EXHB/Housing/Reservation

WHERE CAN I FIND A LIST OF EXHIBITOR DEADLINES?

The Calendar of Deadlines can be found in the Exhibitor Services Kit which will be available mid-summer 2021.

WHO IS THE GENERAL SERVICE CONTRACTOR FOR AFP 2021?

AFP has selected Freeman as our Official General Service Contractor for the show.

IS MY ORGANIZATION REQUIRED TO USE FREEMAN’S SERVICES?

No, you are not obligated to utilize Freeman for your exhibit needs. We highly recommend Freeman because they know our show, as well as the building, and can address all your needs in a timely and knowledgeable way. You can choose other companies, but are still bound by union labor laws and Walter E. Washington Convention Center building requirements. If you choose to use a different Exhibitor Appointed Contractor (EAC), you must submit an online Non-Registrant Conference Pass Form and a Certificate of insurance by October 25, 2021. This form will be available mid-summer.

The COI should include the following within the “Description of Operations” section: conference name, exhibitor name/booth number, dates that your EAC will need access to the booth, and the Association for Financial Professionals, Freeman, and Walter E. Washington Convention Center listed as “Additional Insured”. See example.

CAN I HAVE FOOD AND BEVERAGE IN MY BOOTH?

No. For the duration of the pandemic, the Walter E. Washington Convention Center is prohibiting food and beverage sampling and exhibit giveaways during events for public health and safety.

WHERE SHOULD I SHIP MY MATERIALS?

Due to the limited move-in time, we recommend shipping in advance to the Freeman Warehouse. Information will be available mid-summer with the Exhibitor Kit for ship dates, material handling order forms, and shipping labels.

WE PURCHASED A TURNKEY BOOTH, HOW DO I SUBMIT OUR GRAPHICS?

If you purchased a turnkey booth, your booth graphics will need to be submitted to Freeman. Stay tuned for more information to come mid-summer with the Exhibitor Service Kit is available.

WHAT ADDITIONAL HEALTH AND SAFETY STEPS WILL AFP BE TAKING THIS YEAR?

The safety of our attendees remains our highest priority and all appropriate measures are being taken to ensure that at the Walter E Washington Convention Center in Washington, DC.

The District of Columbia has initiated a four-stage plan, ReOpen DC, for reopening local businesses with event capacities. Exhibits, Ballroom, session rooms and any ancillary activities planned for lobby, concourse or common space at the Convention Center must allow required physical distancing. This includes generous aisle space, minimal close-up contact, and room for physically distanced passage and queuing. Due to this, AFP 2021 may limit attendees and exhibitors throughout the Convention Center including the Exhibit Hall.
